Conference Rooms and the State of the Modern Meeting

Does your office’s conference room need a refresh? If so, you’re not alone. The nature of the business meeting has changed. Gone are the days when all the attendees have to be in one room together. Conferencing and video technology have made projectors nearly obsolete. These changing meeting dynamics have forced many businesses to reevaluate their modern conference room needs.

You may be ready to update your conference room, but unsure of how to go about it. Here are a few tips to get you started:

Conference Room Essentials:  LCD Screens

It used to be that a conference room only required a long table with chairs, a speaker phone, and a whiteboard or flip chart. Today, conference rooms are all about the LCD screens. An LCD screen that’s connected to your office’s Wi-Fi allows you display presentations, share computer screens with the rest of the group, and generally display nearly anything you want.

Of course, using LCD screens also changes the setup of your room. You may need change your configuration so that the screens are visible to everyone. The long conference table may be useless if one side doesn’t face the screens.

Instead, think of using smaller pieces of furniture that can be arranged to face any direction you like. Perhaps use small couches or even smaller groups of tables and chairs. That will ensure that everyone has a good view.

Quality audio is a must for the modern conference room

As you probably know, it’s becoming more and more common for meetings to be held remotely. Given the advance of online meeting technology, it’s hard for many businesses to justify the expense of business travel.

In the conference room, though, this can be a problem if you’re still relying on old speaker phones. Very often, only the people right next to the phone can hear the speaker, making the meeting challenging for those individuals sitting at the outer reaches of the room.

Instead, invest in high-quality phones designed to amplify sound in all directions. Polycom speakerphones make for good options, as they usually have speakers facing in three or four directions. If your room is large, you may want to have a few phones throughout the room.
